How to Set Up Your Team & Employees in SkillsDock
This article covers how to create teams, add employees one at a time or via CSV bulk import, and keep your workforce organised in SkillsDock.
Prerequisites
Before you begin, confirm the following:
- You are logged in to a Builder, Subcontractor, or Professional account. Team and employee management is not available on other account types.
- You have admin or owner-level access to your company account.
- Each employee you add must have an Australian mobile number that is not already registered to another employee in your company.
Step 1 — Navigate to the Team Tab
- Log in to your SkillsDock dashboard.
- Click Settings in the left sidebar.
- Select the Team tab at the top of the Settings page.

Step 2 — Create Your First Team
You must create at least one team before you can add any employees. Team assignment is required when adding a new employee.
- On the Team tab, click the Create Team button.
- In the dialog that appears, enter a team name (1 to 100 characters).
- Click Save.
The new team appears in the list. You can create as many teams as you need. Common examples are "Concreters", "Electricians", "Site Crew", or "Office".
Note: If you arrived here via the onboarding flow, the Create Team section opens automatically.
Step 3 — Add an Employee
Once you have at least one team, you can add employees individually.
- Click Add Employee on the Team tab.
- Fill in the fields:
- Full Name — letters, spaces, hyphens, apostrophes, and dots only (1 to 100 characters).
- Phone Number — a valid Australian mobile. SkillsDock accepts formats like
0412 345 678and converts it to E.164 (+61412345678) automatically. - Role / Trade — the employee's trade or job title (1 to 50 characters). SkillsDock normalises this to title case, so typing
electriciansaves asElectrician. - Team — pick a team from the dropdown.
- Click Save.
The employee now appears under the selected team. Their card shows name, role, and phone number.
Step 4 — Bulk Import Employees via CSV
For larger crews, the CSV import saves a lot of time.
Prepare Your CSV File
Your file needs three columns: Name, Phone Number, and Role. Use the exact column headers shown below — the import requires these specific names.

Save the file as .csv. No other columns are needed.
Run the Import
- On the Team tab, click Import or Bulk Import.
- Select your
.csvfile. - SkillsDock runs a preview and validation step. Rows with problems (invalid numbers, missing fields, duplicate entries) are flagged before anything is saved.
- Review the preview. Fix any flagged rows in your CSV and re-upload if needed.
- Once no errors remain, click Execute Import.
Imported employees are added to your account. If team assignment wasn't included in the CSV, you can assign them from their individual employee cards afterwards.
Step 5 — Edit or Remove an Employee
Edit an Employee
- On the Team tab, hover over an employee card.
- Click Edit.
- Update the fields you need (name, phone, role, or team).
- Click Save.
Remove an Employee
Worth knowing: removing an employee archives their record rather than deleting it permanently. SMS logs, time-tracking records, and payroll data are all kept.
- Hover over the employee card.
- Click Remove.
- Confirm in the dialog.
The employee drops off the active list, but their records stay accessible for reporting and compliance.
Step 6 — Manage Teams
Rename a Team
- On the Team tab, select the team using the team switcher dropdown.
- Click the edit icon next to the team name.
- Enter the new name and click Save.
Delete a Team
- Select the team you want to delete.
- Click Delete.
- Confirm the action.
When you delete a team, its members are unassigned but remain active employees. Reassign them via the Edit option on their cards.
Important: You cannot delete the last remaining team. Create a replacement first, then remove the old one.
Troubleshooting
"Invalid phone number format" error when adding an employee
The number must be a valid Australian mobile. 0412 345 678, 0412345678, and +61412345678 all work. Landlines and overseas numbers are not accepted.
"Duplicate phone number" error Every number must be unique within your company. If it's already linked to another record (including archived employees), you'll see this error. Contact support if you think the number should be free.
CSV rows failing validation
Check that your header row matches the template in Step 4 exactly (full_name, phone_e164, role). Phone numbers must start with +61 followed by 9 digits (e.g., +61412345678). Any row with a missing field or invalid number is rejected at the preview stage.
Cannot delete the last team SkillsDock requires at least one team at all times. Create a new team first, then delete the one you don't need.
The Team tab isn't visible in Settings Team management is only available on Builder, Subcontractor, and Professional accounts. If the tab's missing, check your account type with your administrator.
A removed employee still shows up in reports That's expected. Removed employees are archived, not deleted. Their historical records (time-tracking, SMS logs, payroll) are kept for compliance. They won't appear in the active employee list.
