How to Set Up SkillsClock for Your Team
This guide walks you through the employer side of SkillsClock setup. You will create a site, assign your team, send the roster to the app, and then confirm that live tracking is working.
Prerequisites
- You are signed in to a Builder, Subcontractor, or Professional account.
- Your team members have already been added to your account.
- At least one employee has installed SkillsClock on their phone.
- You know which site and date you want to send out first.
If your team is not ready yet, start with the employee setup guide before you come back to SkillsClock.
Step 1: Open the Schedule page
- Log in to your dashboard.
- Open Schedule from the main navigation.
- Check that you are looking at the correct date before you start adding work.

The Schedule page is where SkillsClock setup begins. The Tracking page comes later, once your team has something to check in to.
Step 2: Add your first site
- Click Add Site.
- Fill in the required fields:
- Site Name
- Location
- Start Time
- Add the rest of the site details if you need them:
- End Time
- Supervisor
- Supervisor Phone
- Smoko Break
- Lunch Break
- Custom Note
- Click Add Site to save it.
Each site card becomes the place where you assign team members for that day. If you already have a site, use Edit instead of creating a new one.
Step 3: Assign your team to the site
- Stay on the same date in Schedule.
- Find the Members list on the left.
- Drag each team member onto the correct site card.
- Confirm that their name appears under Assigned To.
If nobody is assigned yet, the site card shows a drop area with the message Drag and drop team members here. Once a worker appears in the site card, they are included in the roster for that date.
Step 4: Send the roster to SkillsClock
- Click Send Roster.
- Choose one of the two options:
- Send Now
- Schedule for Later
- If you choose Schedule for Later, set the future date and time in Schedule Time.
- Confirm the send.
When the roster goes out, employees who already have SkillsClock will receive the notification in the app. If someone has not set up SkillsClock yet, the result screen shows them in the No App section so you can follow up with them.
Step 5: Ask your team to finish their app setup
Your team needs to do a small amount of setup inside SkillsClock before live tracking begins.
Tell each worker to:
- Open the roster notification in SkillsClock.
- Complete the permission prompts on first launch.
- Tap Allow Location when the app asks for location access.
- Read the consent message and continue.
- Start tracking when they arrive on site.
The app explains this in plain language. Workers are told that SkillsClock uses phone location to detect when they arrive at or leave a site and to support accurate time records. If a worker ignores the permission step, the session will not start properly.
Step 6: Check the Tracking page
- Open Tracking from the main navigation.
- Use Search employees or sites... if you need to narrow the list.
- Use Active or Completed to filter what you see.
- Review the location column for each worker:
- On Site
- Off Site
- Locating...
- Click View Details if you need the full session timeline.

This is the page you will use day to day once the setup is done. It shows who is working, who is on break, and whether the latest site check is still loading.
What to look for after setup
Once the first shift is underway, a healthy setup usually looks like this:
- The worker appears in Tracking with a live session.
- Their status shows Working or On Break.
- Their location updates to On Site once the app has a fresh site check.
- The View Details panel shows the start time and recent activity.
If the page still shows Locating..., give it a moment. That usually means the app is waiting for a fresh phone location rather than failing outright.
Troubleshooting
An employee was skipped when I sent the roster
That usually means they have not finished SkillsClock setup yet. Ask them to install the app and sign in first, then send the roster again.
The worker opened the link but could not start tracking
SkillsClock requires consent before tracking can start. Ask the worker to go back through the flow and make sure they accepted the consent step and tapped Allow Location.
The tracking link says it has expired
Tracking links only stay valid for a limited time. If the worker opens the link too late, send the roster again so they receive a fresh notification.
Tracking shows Locating... for too long
This usually means the phone has not sent a fresh site update yet. Ask the worker to open SkillsClock, check that location access is still enabled, and wait for the app to refresh.
I cannot see anyone on the Tracking page
Check the basics in this order:
- The worker was assigned to the correct date in Schedule.
- The roster was actually sent.
- The worker has the SkillsClock app installed.
- The worker opened the notification and started tracking.
